The useful distinction

Use the boarding method attached to the actual reservation: each traveller’s designated IC card, the permitted QR ticket, or paper tickets collected at an authorised location. Payment confirmation is not the same as a gate credential.

Travellers with a SmartEX reservation who need to make the station handoff work.

A reservation is not the same thing as the gate method

SmartEX’s boarding guide describes designated IC-card boarding, QR-ticket boarding and collection of paper tickets. Decide which method applies to the actual booking before reaching the station. An account confirmation or credit-card notification is not itself a promise that every gate will accept any display from your phone.

This guide separates the booking from its boarding credential. It does not buy a ticket, approve a card or guarantee an available seat. Keep the method consistent with the service and instructions shown in your own reservation.

With IC boarding, check the designation for every traveller

SmartEX explains that the Shinkansen fare is paid using the payment card registered for the service, rather than being deducted from the transport IC card balance. The IC card used at the gate still needs to be the one properly designated for the passenger’s booking.

Do not assume that any card stored on the same phone, or the card used on a local train earlier, is automatically the assigned credential. Review each party member separately and keep account and card information private. A valid IC card and a paid reservation are two distinct parts of the process.

With QR boarding, keep the usable ticket through the exit

The QR guide explains entry and exit procedures and the Seat Information slip issued at the gate. That slip is not the admission ticket used for the journey. Follow the current QR instructions rather than discarding access to the ticket after entering the station.

Make sure the permitted display method is available when needed. Do not rely on a generic screenshot rule borrowed from another ticket platform. If a display is unavailable, use SmartEX’s designated support or pickup instructions instead of trying repeated unrelated credentials at the gate.

Connecting from a local train adds another fare question

SmartEX’s QR instructions distinguish transfer procedures involving a transport IC card from those involving paper local-train tickets. Local transport and the Shinkansen booking need to be handled according to the applicable gate sequence.

Plan the whole station transition, not only the Shinkansen ticket. Identify the local line used to arrive, the payment method for that part and the gate you will pass. An IC card’s balance can matter for a local segment even though it is not how the reserved Shinkansen fare was purchased.

For paper pickup, check the exact collection location and timing

SmartEX publishes the ticket machines and counters where its tickets can be collected. Its instructions distinguish collection methods and timing, so do not assume every JR machine or station can produce the booking whenever you arrive. Confirm the required pickup credential and any account verification step.

Choose a usable collection point before tying pickup to a tight departure. Keep the collection information in the secure booking channel rather than copying codes into a public travel note. Where the exact machine, time or credential remains uncertain, ask the responsible service before relying on it.

Recheck the method after changing a booking or device

A changed train, passenger arrangement, phone or designated IC card can alter what you need to show. Open the current reservation and verify the final result rather than assuming a previously downloaded screen still matches. Do not make an extra purchase simply because the expected boarding method is unclear.

Record one useful next action: confirm the assigned card, locate the permitted QR display or identify the paper pickup point. Avoid a vague task such as sort train ticket that hides which part of the process failed.

Keep a practical fallback without inventing acceptance

Before the travel day, know how to contact SmartEX or station staff through the official route and allow time for the particular question. A fallback is not a guarantee that another gate or payment card will work. The same applies to the ability to sit together or keep a special luggage reservation.

Keep the unresolved step and recheck it after an itinerary change. A personal note cannot certify boarding or merge an IC balance, an order receipt and a QR display into one approved journey.
