Plan from a realistic terminal-exit range, then confirm the final transport you can board and the hotel's late-entry instructions.

Plan from terminal exit, not scheduled arrival
Plan onward travel from the time the aircraft parks, allowing for any required border procedures, baggage collection, Customs and movement through the terminal.

Check the last route you can actually board

Confirm late check-in directly with the hotel
- latest accepted arrival or contact time;
- overnight reception, self check-in and building access;
- delay or no-show handling;
- exact address and terminal-to-property route; and
- shuttle terminal, schedule and reservation conditions.
Until confirmed, room availability, late-arrival acceptance, shuttle use and taxi availability are Unknown. A booking-platform filter is not first-party confirmation.
Get an acknowledgement and an entry procedure, not just a sent message
Contact the property before the expected arrival is missed
Toyoko Inn warns that a booking can be cancelled when arrival passes without notice. Use the genuine confirmation or property page to contact your own hotel. State the booked night and revised arrival estimate; do not claim you will be at reception at the flight’s landing time. Ask the property to acknowledge the change and tell you when to update it again.
Name both the booked night and the arrival date
For a Monday-night stay with entry after midnight on Tuesday, state both facts. Do not cancel and buy a Tuesday-night room just to match the clock. Ask which original booking is being held and when checkout remains due. A revised arrival estimate is not an accepted extension or a fee waiver.
Confirm access before you have a room key
Sotetsu Fresa Inn distinguishes returning guests’ overnight key access from instructions for late arrivals to call. A person who has not checked in cannot rely on a key they do not yet have. Ask for the correct entrance, staffed or intercom procedure, required identification and a contact if the door is closed. Keep access codes and confirmation links private.

Close the transport and accommodation loop
After the property responds, recheck the actual airport, terminal, usable final transport and fallback. Keep the property’s acknowledgement, entry steps and next update point together. A sent message, available room, taxi estimate and successfully entering the property are separate states; follow each responsible provider rather than assume one delay notice changes every contract.
JAPANiCAN directs travellers unable to arrive because of suspended transport to contact the property. Ask the hotel, booking seller and any insurer about their own responsibilities separately; the airline’s notice does not create a universal hotel fee waiver.
